AI Document Automation & Data Extraction

AI document automation is software that reads a document the way a person does, extracts the fields, checks them against your rules and writes the result into your systems. Unlike template OCR, it does not need every invoice, contract or form to look the same.

We build those workflows end to end: supplier invoices posted to Sage, QuickBooks or Xero, client emails triaged and answered, contracts and KYC packs turned into structured data in your ERP or CRM. Anything the model is unsure about goes to a person for a one-click review before it reaches your books.

Built and supported in Mauritius. Your documents stay in an environment you control, aligned with the Data Protection Act 2017 and GDPR.

Document automation with AI, OCR and RPA compared

Most finance and admin teams have already tried one of the older approaches and hit its limits. The difference is not speed, it is judgement: a template reads a position on a page, a script repeats keystrokes, an AI model reads the document and applies your rules to what it finds.

In practice the three are combined: AI for reading and judgement, classic automation for moving the data into your systems. See the wider picture on our AI consulting and implementation page.

Every document your business reads by hand

Invoice & receipt processing

Supplier invoices arrive by email or WhatsApp, are read, matched to purchase orders and posted to your accounting software, with exceptions flagged for review.

Email triage & auto-reply

Incoming client emails are classified (quote request, complaint, order status…), routed to the right person and answered with a context-aware draft.

PDF & contract extraction

Pull parties, dates, amounts, renewal clauses and obligations out of contracts and reports into a searchable database.

KYC & onboarding forms

Read ID cards, proof of address and application forms, cross-check the details and pre-fill your onboarding system.

Automatic data entry

Populate ERP, CRM and internal systems from any document. No more copy-paste between a PDF and a form.

Report generation

Turn raw exports into formatted management reports, board packs and regulatory filings on a schedule.

From inbox to your ERP, with a human in the loop

Full automation is not the goal on day one. Accuracy is. Each workflow starts in supervised mode and moves to automatic only once it earns your trust.

01

Capture

Documents arrive from email inboxes, shared folders, WhatsApp, scanners or web uploads. The AI picks them up automatically.

02

Extract

A fine-tuned model reads each document (including scans and photos) and extracts the fields you need as structured data.

03

Validate

Business rules and confidence scores decide what is written automatically and what goes to a person for a one-click review.

04

Integrate

Clean data is written to your ERP, CRM or accounting software through its API, and every action is logged for audit.

How to compare AI document automation solutions

Most document automation solutions demo well on a clean invoice. These six questions decide whether the workflow still works in month six, whether you build it with us or with anyone else.

Tested on your own documents

Any tool looks accurate on a clean sample invoice. Ask for a pilot on your worst files: crumpled scans, phone photos, handwritten delivery notes, suppliers who change their layout twice a year.

What happens when it is unsure

Every extracted field should carry a confidence score, with a threshold you set. Below it, the document waits for a person instead of being silently written into your accounts.

Depth of the integration

Reading the document is the easy half. Check that the data is written into Sage, QuickBooks, Xero, Odoo, SAP Business One, Dynamics, Salesforce, HubSpot or your own database through an API, and not exported to a CSV someone still has to import.

Where the documents are processed

Invoices, contracts and ID documents are sensitive. Confirm the processing environment, whether files leave the country, and that your documents are never used to train public models. We align every build with the Data Protection Act 2017 and GDPR.

What is kept, and for how long

If you need version history, approvals or a trail an auditor can follow, raise it at the start: it changes how the workflow and the storage are designed. Ask any supplier what is recorded, where it is stored and who can see it.

Who maintains it afterwards

New suppliers, new formats and rule changes arrive every month. Ask who adjusts the workflow, how fast, and whether you own what was built. We maintain and extend what we build, with a named technical contact.

If your documents are legal files, client KYC packs or audit workpapers, start with AI for law firms, finance and compliance, where answers come only from approved sources and cite the passage used. If the point is to act on the extracted data, we build custom business dashboards on top of it, and AI customer service agents for documents that arrive with a customer question attached.

Frequently asked questions

What is AI document automation, and how is it different from OCR or RPA?

Template OCR reads fixed zones on a page, so it breaks when a supplier changes layout. RPA repeats clicks and keystrokes in a fixed order. AI document automation understands the content: it finds the invoice number wherever it sits, reads a free-text email, applies your business rules and decides what to do, including when to hand a document to a person. In most real workflows the three are combined: AI for reading and judgement, automation for writing the data into your systems.

What kinds of documents can the AI process?

Anything your team currently reads and retypes: supplier invoices, receipts, purchase orders, delivery notes, bank statements, contracts, application forms, ID documents for KYC, and free-text emails. Scanned images and photos taken on a phone are handled with AI OCR, so documents do not need to be "clean" PDFs.

Which systems can it push data into?

We connect to the accounting, ERP and CRM tools businesses in Mauritius actually run (for example Sage, QuickBooks, Xero, Odoo, SAP Business One, Microsoft Dynamics, Salesforce, HubSpot, Google Workspace and Microsoft 365), as well as any in-house system with a database or API. If a tool has no API, we automate it through its web interface.

How accurate is AI data extraction, and what happens when it is unsure?

Extraction is validated against your business rules (e.g. totals must equal line items, VAT numbers must be valid, supplier must exist). Every field carries a confidence score; anything below your threshold is routed to a person for a one-click review instead of being written to your system. Over time, your corrections refine your own private model on your documents; they never train public models.

Is our data safe? What about the Mauritius Data Protection Act?

Yes. Documents are processed in an environment you control (your own servers, or a region-locked cloud tenant) and are never used to train public AI models. Access is role-based and every action is logged, aligned with the Data Protection Act 2017 in Mauritius and GDPR for clients with EU data.

How long does implementation take?

A single workflow (for example supplier invoices into your accounting software) typically goes live in 3–6 weeks: one week to map the process and collect sample documents, two to four weeks to build and test with your real data, then a supervised launch where a person reviews every result before we switch to automatic mode. The timeline is confirmed in your fixed written quote.

Is this the same thing as document control software?

No. Document control software is about storing files, versions and approvals. Document automation is about reading the documents that come in and getting the data into your systems. The two sit next to each other, and the needs often overlap: if you need version history, approvals or a trail an auditor can follow, tell us at the start so the workflow is designed for it and it is scoped in the written quote. For law firms, accounting and audit firms and other regulated businesses, our privately deployed assistants are built with role-based access and full query logs.

What does AI document automation cost?

We do not publish a price, because the work depends on the document types, their volume and variety, the systems to integrate and how much validation you need. Integrating a tool with a documented API is not the same job as automating a system that has none. We start with a free process audit on your real documents and give you a fixed written quote after a free discovery call, usually scoping one workflow first so you can judge the results before extending it.

Can we start with one process instead of automating everything?

That is what we recommend. Pick the process that hurts most, usually supplier invoices or a shared inbox, run it in supervised mode where a person approves every result, and compare it with how the team works today. Once it earns trust it moves to automatic and the next document type is added. You own what we build, and we maintain and extend it afterwards.

Show us one painful process

Send us a sample of the documents your team retypes every week. We will map the workflow and tell you honestly what can be automated, and what it would save.
