The template
Clause by clause
The PDF starts with boxes for the owner, the renter and the vehicle, then these terms, then signatures. Replace each … with your own figures.
1.Rental period and place
- The vehicle is rented from … (date and time) at … (place) until … (date and time) at … (place). Any extension must be agreed by the owner before the end of the rental.
2.Drivers
- Only the renter and the additional drivers named in this agreement may drive the vehicle. Each driver must be at least … years old, hold a valid driving licence held for at least … year(s), and show it with an identity document or passport before the rental starts.
3.Price and payment
- The rental price is … for … days, plus the extras listed in this agreement. Payment is made by … (cash, bank transfer, card) on … (date).
4.Security deposit
- The renter pays a deposit of … before the vehicle is handed over. It is returned within … days after the vehicle comes back, less any amounts owed under this agreement, with a written breakdown of any deduction.
5.Condition of the vehicle
- The vehicle’s condition at pickup is recorded in an inspection report with photos, signed by both parties, which forms part of this agreement. The same check is made at return. The renter returns the vehicle in the same condition, apart from normal wear.
6.Fuel and mileage
- The vehicle is handed over with … fuel and must be returned with the same level; missing fuel is charged at … per litre plus a refuelling fee of …. Mileage is … (unlimited, or … km included, then … per km).
7.Use of the vehicle
- The renter may not: sub-let or lend the vehicle; drive under the influence of alcohol or drugs; use it for racing, towing, driving lessons or carrying passengers or goods for payment; drive off public roads; take it off the island without written permission; carry more people than the vehicle is registered for.
8.Insurance and excess
- The vehicle is insured by … (insurer, policy number …). In case of damage or theft covered by the insurance, the renter pays at most the excess of … per event, unless the damage results from a breach of this agreement. Damage not covered by the insurance (for example to tyres, glass or the underside, if excluded) is charged at cost.
9.Accidents, theft and breakdown
- The renter informs the owner immediately on …, reports any accident or theft to the police, obtains a police report or reference, and does not admit liability. The renter does not arrange repairs without the owner’s agreement.
10.Traffic fines
- The renter is responsible for fines, contraventions and tolls incurred during the rental. The owner may give the renter’s details to the authorities and charge an administration fee of … per fine.
11.Late and early return
- A return more than … minutes late is charged at … per hour, up to the price of an extra day. No refund is due for an early return unless agreed in writing.
12.Cancellation
- Cancellation by the renter: … (for example free up to … days before pickup, then …).
13.Personal data
- The owner keeps the renter’s and drivers’ personal data to perform this agreement and meet legal obligations, in line with the Data Protection Act 2017, and does not sell it.
14.Governing law
- This agreement is governed by the laws of the Republic of Mauritius. Any dispute is first discussed between the parties in good faith.

Write the numbers down
Excess, deposit, fuel and late fees as amounts, not “as per our rates”. Customers sign more easily what they can read.

Visitors read English or French. An agreement they understand is one they are less likely to dispute.

Have the agreement signed before handover, by every named driver, and give the customer a copy.
