WhatsApp Booking Automation for Car Rental Companies

Renters message you with “automatic car, 14 to 21 March, pick-up at the airport, return in Grand Baie?” and want an answer before they book the next agency. We build the WhatsApp assistant that quotes from your rates, checks which cars are free, collects the driver’s details and sends the deposit link, so your team only steps in for the handover and anything that needs a person.

For car rental agencies in Mauritius serving tourists and residents, including those that also run airport transfers or chauffeur services, on the official WhatsApp Business Platform.

From $9 a month plus usage. See pricing →

Why car rental bookings slip away on WhatsApp

Most renters ask three or four agencies at once. The one that answers first, with a clear quote, usually gets the booking.

Requests arrive while you’re on the road

Your team is at the airport handing over a car or collecting one in Flic en Flac. The quote request waits, and the renter books elsewhere.

Ten messages for one quote

Dates, times, pick-up place, return place, car type, automatic or manual, extra driver, child seat. Each answer depends on the previous one.

Documents chased at the last minute

Licence photos, passport details and flight times are often sent the night before, or at the handover itself.

Returns that run late

A renter forgets the return time or wants two more days, and you find out when the next customer is already waiting for that car.

Car rental workflows on WhatsApp, from quote to return

Three conversations every rental agency handles each week, and what the automation does with each one.

Quote and availability
  1. How much for a 7-seater, 3 to 10 April, pick-up in Port Louis?

  2. Reads the dates, times, pick-up and return places and car category
  3. Checks which cars are free in your booking system or fleet sheet
  4. Builds the quote from your own rates, delivery fees and extras
  5. Offers to hold the car and asks for the driver’s details
  6. Quote sent, car held
Driver details and deposit
  1. OK, let’s book it. What do you need from me?

  2. Asks for the main driver’s name, licence photo and any extra driver
  3. Collects the flight time or hotel name for the handover
  4. Sends a deposit or payment link (MCB, MCB Juice, MyT Money, Stripe or PayPal)
  5. Confirms the booking with handover details once payment is received
  6. Booking confirmed and paid
Return reminder and extension
  1. Can I keep the car until Sunday instead of Friday?

  2. A reminder with the return time and place went out the day before
  3. The renter asks to extend
  4. The extra days are checked against the next booking for that car
  5. If the car is free, the new return date and balance are sent; if not, your team is told
  6. Extended, or passed to your team

Example flows. Yours follow your own fleet, rates, deposit rules and booking tools.

What the renter sees, and what your team sees

Customer journey

One chat for the whole rental

  1. 1.Asks for a quote at any hour and gets one with cars that are actually free
  2. 2.Sends licence details and pays the deposit without leaving WhatsApp
  3. 3.Receives the handover details: arrivals hall, hotel lobby or your office
  4. 4.Gets a reminder before pick-up and another before the return
  5. 5.After the rental, gets a thank-you and a link to leave a review, if they agreed to receive it

Staff workflow

Bookings ready to hand over

  1. 1.New bookings arrive with dates, places, car category and driver details filled in
  2. 2.Every conversation sits in a shared inbox for the office and the drivers doing handovers
  3. 3.Tomorrow’s pick-ups and returns can be sent to you each evening, with times and places
  4. 4.Extension requests are checked against the next booking before anyone says yes
  5. 5.Damage, accidents and deposit questions are flagged to a person straight away

Who handles what in a rental conversation

AI

Understands how renters write

Renters write “auto car sat to sat, airport, drop GB” from a phone, often before they’ve booked the flight.

  • Picks out dates, times, places and car type from a casual message
  • Answers questions on fuel policy, extras and delivery areas from your own information
  • Replies in English, French or Kreol Morisien, following the renter’s language

Automation

Does the booking work

Once the request is clear, fixed rules take over, so quotes and reminders don’t depend on who is in the office.

  • Checks availability and builds the quote from your rates
  • Sends the deposit link and confirms when payment arrives
  • Sends pick-up and return reminders on time, using approved templates

Human

Your team handles what needs judgement

Some messages need someone who knows the car and the customer. The assistant hands those over instead of guessing.

  • Damage, accidents and breakdowns
  • Disputes over the deposit or extra charges
  • Insurance and cover questions
  • Unusual requests and any renter who asks for a person

Licence photos and ID, handled with care

A licence or passport photo is personal data. We design the flow around the principles of the Mauritius Data Protection Act 2017: the assistant asks for documents only once the renter is booking, not to send a quote, and only the people who need them can see them.

What happens to the images after the rental is your policy. We set it up the way you decide, and agree it with you before launch, for example:

  • Documents requested only at the booking step, never for a quote
  • Access restricted to the staff who prepare the contract and do the handover
  • Images deleted after the rental, on the schedule your policy sets
  • Renters told in the chat why the document is needed and how it is used

Connected to the tools your agency already uses

If your rental or fleet software has an API or webhooks, WhatsApp can read availability from it and write bookings to it. Smaller agencies working from a spreadsheet can start with Google Sheets or a simple calendar behind the flow.

  • Rental or fleet software with an API
  • Google Sheets and Google Calendar
  • Payment links: MCB, MCB Juice, MyT Money, Stripe, PayPal
  • Your website’s booking form
  • CRM for returning renters
  • Messenger and Instagram in the same inbox

What changes for the agency

Quotes sent while the renter is still looking

A request at 22:00 gets a quote at 22:00, not after tomorrow’s first handover.

Bookings arrive complete

Dates, places, car category, licence and deposit are in place before anyone prepares the car.

Fewer surprises at return

Renters are reminded of the return time and place, and extensions are checked before they are agreed.

More reviews after the rental

A follow-up goes out after each return, only to renters who agreed to receive it.

Car rental WhatsApp automation: FAQ

Can customers book a rental car on WhatsApp?

Yes. The renter sends dates, places and the type of car, the assistant checks what is free and sends a quote. If they accept, it collects the driver’s details and a deposit, then confirms the booking. You decide whether the assistant confirms on payment or a person confirms every booking.

Does it work with our rental or fleet software?

If the software has an API or webhooks, we can connect WhatsApp to it to read availability and create bookings. If not, the assistant can work from a Google Sheet or a simple calendar we set up, or collect the request for your team to enter.

Can renters send their driving licence on WhatsApp?

Yes. The assistant asks for the licence photo once the renter is booking and stores it where only the right staff can see it. Images are deleted after the rental according to your own policy. The flow is designed around the Mauritius Data Protection Act 2017 principles; how you keep and use the documents remains your responsibility.

Can we take a deposit through WhatsApp?

The assistant sends a payment link in the chat, through MCB, MCB Juice, MyT Money, Stripe or PayPal, and confirms the booking when the payment is received. The deposit amount and refund rules are yours to set.

Can it remind renters before pick-up and return?

Yes. Reminders go out at the times you choose using message templates approved by Meta, with the time, place and who to look for. The renter can reply to ask for an extension, which is checked against the next booking for that car.

What happens if a renter reports damage or an accident?

The assistant does not handle it. It acknowledges the message, asks whether the renter is safe if it sounds urgent, and flags the conversation to your team straight away. Insurance questions and deposit disputes also always go to a person.

We also do airport transfers and chauffeur hire. Does it cover those?

Yes. The same assistant can take transfer and chauffeur requests: flight time, number of passengers, luggage and destination. It logs them for your drivers and sends the pick-up details in the same chat.

How much does WhatsApp automation cost for a car rental company?

Artover Chat is a monthly plan plus a usage wallet that pays for AI replies and WhatsApp messages as you use them. Current prices and a cost simulator are in the pricing section of this page. A connection to your rental software or payment provider is quoted separately after a free discovery call.
