WhatsApp Automation for Hotels, Villas and Tour Operators

A couple in Lyon plans their honeymoon at 23:00 their time and writes to ask about a sea-view room, the airport transfer and a catamaran day. In Mauritius it’s 1am. We build the WhatsApp assistant that answers them straight away, checks your availability, collects their flight details and passes the booking to reservations, ready to confirm in the morning.

Where guest messages get lost

Guests choose a hotel or villa partly on how quickly and clearly it answers. On WhatsApp, they expect a reply the way they would from a friend.

Guests write from other time zones

Europe’s evening is the middle of the night here. An enquiry answered eight hours later has often already been booked elsewhere.

One booking, many messages

Dates, number of guests, children’s ages, room type, flight time, transfer, dietary needs. It takes a dozen messages to collect what a booking needs.

The same questions every day

“Is breakfast included?”, “Is there a kids’ club?”, “How far is the airport?”, “Can we check in early?” Reception answers them all by hand.

Excursion requests scattered

A guest asks about a catamaran day on WhatsApp, the desk takes it on paper, the operator confirms by phone. Details slip between them.

Hotel and villa workflows on WhatsApp

Three conversations every property handles, from the first enquiry to the morning of an excursion.

Booking enquiry
  1. Do you have a family room for 2 adults and 2 kids (4 and 9) over Easter?

  2. Reads the dates, guests and children’s ages
  3. Checks availability in your booking engine or channel manager, if it has an API
  4. Suggests the room types that fit the family, from your own descriptions
  5. Sends the enquiry to reservations to confirm the rate and take the booking
  6. Enquiry ready for reservations
Pre-arrival and airport transfer
  1. Yes please, we’d like the transfer. Our flight lands at 17:20.

  2. A pre-arrival message goes out a few days before, to guests who agreed to receive it
  3. The guest replies with flight details and requests
  4. The transfer is added to the driver’s list or sent to your transfer partner
  5. The guest gets the pickup details in the same chat
  6. Transfer booked, guest informed
Excursion or activity request
  1. Can we do the dolphin trip on Thursday? We’re 3 adults.

  2. Answers what the trip includes, departure time and what to bring, from your activity sheets
  3. Checks the day against the operator’s schedule, if it is shared with you
  4. Takes names and the pickup point
  5. Passes the request to the activity desk or the operator to confirm
  6. Request sent, guest updated

Example flows. Yours follow your own rooms, policies, partners and booking tools.

The same WhatsApp chat, from enquiry to check-out

Guests keep one conversation with your property. Behind it, each message reaches the right person or system.

Customer journey

What the guest sees

  1. 1.Asks about rooms and dates, and gets a reply whatever the hour
  2. 2.Receives the booking confirmation in the chat, sent by your team
  3. 3.Gets a pre-arrival message and sends flight details for the transfer
  4. 4.During the stay, asks about the spa, a late check-out or a taxi to Port Louis
  5. 5.After check-out, gets a thank-you and a link to leave a review, if they agreed to receive it

Staff workflow

What reservations and reception see

  1. 1.Enquiries arrive with dates, guests and room type already filled in
  2. 2.Every conversation sits in a shared inbox for reservations, reception and the activity desk
  3. 3.Transfers and excursion requests are listed for the right person to confirm
  4. 4.Complaints and unusual requests are flagged to a manager straight away
  5. 5.A list of tomorrow’s arrivals and their transfer times can be sent each evening

Who handles what in a guest conversation

AI

Understands international guests

Guests write in their own way, often from a phone at the airport, sometimes mixing two languages.

  • Answers questions about rooms, facilities and the area from your own information
  • Replies in English or French, and in Kreol Morisien for local guests
  • Follows the language the guest writes in; other languages are tested with you before launch

Automation

Does the follow-up work

The steps after each message are fixed rules, so nothing depends on who was on shift.

  • Checks availability where your booking tool allows it
  • Collects flight details and logs transfer requests
  • Sends pre-arrival and post-stay messages on time, using approved templates

Human

Your team handles the guest relationship

Hospitality is personal. The assistant passes over anything that needs judgement or goodwill.

  • Complaints, during the stay or after it
  • Group bookings, weddings and events
  • Special requests: anniversaries, accessibility, special diets
  • Rate questions, discounts and any guest who asks for a person

What the assistant confirms, and what stays with reservations

Room rates depend on season, length of stay, meal plan and where the guest booked. We don’t let an assistant improvise them. If your booking engine shares live rates through an API, it can quote what it reads. If not, it collects the details and reservations replies with the rate.

The same goes for confirmations. You decide where the line sits: some properties let the assistant confirm a booking once payment is received, others want a person to confirm every one. Both work.

We agree the rules with you before launch, for example:

  • Which questions it answers alone (facilities, check-in times, directions, what is included)
  • Which requests always go to a person (rates for groups, refunds, complaints, changes to paid bookings)
  • Whether a payment link is sent in the chat, and by whom
  • What it says when a guest writes at night and the desk is closed

Connected to the tools your property already uses

Most hotels and villas take bookings through several channels at once. If your booking engine or channel manager has an API or webhooks, WhatsApp can read from it and send requests to it. Small guesthouses without one can start with a simple calendar or Google Sheet behind the flow.

  • Booking engine or channel manager with an API
  • Google Calendar and Google Sheets
  • Your website’s booking page
  • Payment links: MCB, MCB Juice, MyT Money, Stripe, PayPal
  • CRM for returning guests
  • Messenger and Instagram in the same inbox

What changes for the property

Night-time enquiries answered

Guests in Europe, South Africa or India get a reply while they are still planning, not the next day.

Complete booking requests

Reservations starts from dates, guests, room type and flight details, not from a half-finished chat.

Transfers and trips in one place

Every pickup and excursion request is logged, with the guest’s name, time and place.

Reception freed for guests in front of them

Routine questions stop pulling staff away from the desk.

Hotel and villa WhatsApp automation: FAQ

Can guests book a hotel room on WhatsApp?

They can send the enquiry and, if your booking engine allows it, see what is available. Whether the assistant confirms the booking itself or reservations does is your choice. Many properties keep the final confirmation and payment with a person.

Does it work with our booking engine or channel manager?

If it has an API or webhooks, we can connect WhatsApp to it to read availability and pass booking requests. If it doesn’t, the assistant collects the details and your team enters the booking as they do today.

Can the assistant arrange airport transfers?

It collects the flight number, arrival time and number of passengers, and logs the request for your driver or transfer partner. The guest receives the pickup details in the same chat once it is confirmed.

Can we message guests before they arrive?

Yes, to guests who agreed to receive messages from you. A pre-arrival message sent days after their last message uses a template approved by Meta. When the guest replies, the conversation continues normally.

Which languages can it reply in?

English, French and Kreol Morisien are confirmed. The assistant follows the language the guest writes in. If many of your guests write in another language, we test it with you before launch rather than promise it.

What happens when a guest complains on WhatsApp?

The assistant acknowledges the message, says a manager will reply and flags the conversation straight away. It does not offer refunds, upgrades or apologies on your behalf.

Is this useful for tour and activity operators too?

Yes. The same setup answers questions about trips, checks dates against your schedule, takes names and pickup points, and sends reminders the day before, to guests who agreed to receive them.

How much does WhatsApp automation cost for a hotel or villa?

Artover Chat is a monthly plan plus a usage wallet that pays for AI replies and WhatsApp messages as you use them. Current prices and a cost simulator are in the pricing section of this page. A connection to your booking engine or channel manager is quoted separately after a free discovery call.
