Real Estate WhatsApp Automation: Qualified Leads and Booked Viewings

A listing goes live and the enquiries start: “Still available?”, “Can I visit?”, “Is it furnished?”. We build the WhatsApp assistant that answers each one, asks the questions your agents would ask, suggests matching properties and books the viewing, so agents spend their day with serious buyers and tenants.

For estate agencies, independent agents and property developers in Mauritius, on the official WhatsApp Business Platform.

From $9 a month plus usage. See pricing →
  • Every enquiry qualified the same way
  • Viewings booked in the agent’s calendar
  • Each lead saved in your CRM

Demo conversation (fictional business and customer)

  1. Customer: Hi, saw your ad for the 3-bed apartment in Tamarin. Still available? Looking to rent from January.
  2. Agency property assistant: Hi! Yes, it’s available from 1 January, furnished, with a sea view. Quick questions so the agent can help: long-term rental? How many people, and any pets?
  3. Customer: Long term, 2 adults and a child, no pets. Could we visit Saturday?
  4. Lead summary sent to agent, viewing slot reserved
  5. Agency property assistant: Booked ✅ Saturday 10:30 with Nadia at the apartment. She has your details. You’ll get a reminder on Friday with the exact address.

Why property enquiries slip through

Portals, Facebook ads and signboards all send people to WhatsApp. The enquiries arrive in bursts, at all hours, and most of them look alike until someone asks the right questions.

Agents are out on viewings

An agent showing a villa cannot reply to the ten messages that came in about another listing. The fastest agency to answer often gets the visit.

“Still available?” and nothing else

Many first messages carry no budget, no dates and no area. Agents chase basic details before they know if the lead is real.

Buyers in other time zones

Buyers living abroad often write when your office is closed, and a reply the next afternoon can feel like no reply.

Leads stay in personal phones

When enquiries live in each agent’s WhatsApp, the agency has no record of who asked for what, or who followed up.

From first enquiry to a viewing in the diary

The assistant follows the qualification steps your best agents already use, then hands a ready lead to the right person.

Enquiry from a listing or ad
  1. Is the villa in Grand Baie still for sale?

  2. Recognises which listing the message refers to
  3. Asks: buying or renting, budget range, timeline, financing
  4. Answers listing questions from your property details
  5. Sends the agent a short lead summary
  6. Qualified lead with the agent
Open search, matching listings
  1. Looking for a 2-bed to buy in the north, ready by mid-year

  2. Collects area, bedrooms, budget range and move-in date
  3. Searches your listings database or website, when it has an API
  4. Sends two or three matching properties with links
  5. Offers a viewing on the ones the client likes
  6. Shortlist sent, viewing offered
Viewing and follow-up
  1. Saturday morning works for the viewing

  2. Books the slot in the agent’s calendar
  3. Sends a reminder the day before, with the address and the agent’s name
  4. After the visit, asks how it went and what comes next
  5. Updates the lead status in your CRM
  6. Viewing done, lead updated

Example flows. Yours use your own qualification questions, areas and agent rota.

What the enquirer sees, and what the agency gets

Customer journey

Answers instead of silence

  1. 1.Sends a message from a portal listing, an ad or your website, at any hour
  2. 2.Gets an immediate reply about the property they asked for
  3. 3.Answers a handful of short questions in their own words
  4. 4.Receives similar listings if the first one doesn’t fit
  5. 5.Picks a viewing time and gets a reminder before it

Staff workflow

Leads that arrive ready to work

  1. 1.A summary with budget, area, timeline and financing lands with the agent
  2. 2.Leads are shared by area, listing or rota, the way your agency works
  3. 3.Viewings appear in the agent’s calendar, with the client’s details
  4. 4.Every conversation is kept in a shared inbox, not in one person’s phone
  5. 5.The CRM shows each lead’s source and status, ready for reporting

Where the assistant stops and the agent steps in

AI

Has the first conversation

Enquiries rarely follow a script. “Pet friendly? Near a school? Can we do Sunday?” all come in one message.

  • Links the message to the right listing
  • Asks qualification questions naturally, not as a form
  • Follows the language the client writes in: English, French or Kreol Morisien

Automation

Moves the lead along

Once the details are in, fixed rules decide where the lead goes and what happens next.

  • Routes the lead to the right agent
  • Books and reminds viewings from the agent’s calendar
  • Creates or updates the contact and deal in your CRM

Human

Agents handle the deal

Price talks and anything legal belong with a qualified person. The assistant never negotiates or gives advice it should not.

  • Offers, counter-offers and negotiation
  • Legal, tax and ownership questions
  • Questions about schemes open to foreign buyers
  • Anyone who asks to speak to an agent

For property developers selling off-plan

Development projects draw interest from Mauritius and from buyers abroad, who often write late at night or over the weekend. The assistant can answer the routine questions about a project around the clock: unit types, floor plans, completion stage, what is included, and how to arrange a visit to the site or the show flat.

Questions about purchase schemes for non-citizens, contracts or payment schedules are handed to your sales team. The assistant collects the buyer’s details and interest first, so your team picks up the conversation knowing exactly what they want.

  • Brochure and floor plans sent on request
  • Unit availability read from your sales sheet or system
  • Site or show flat visits booked with the sales team
  • Buyer’s country, budget range and timeline recorded for the team

For rentals already under management

Once a property is let, WhatsApp fills with a different kind of message: a leaking tap, a key that no longer works, a question about the rent date. The assistant records each maintenance request with the unit, a description and photos, tells the tenant what happens next, and alerts the right person or contractor.

Rent reminders and notices go out as approved templates to tenants who agreed to receive them. Anything about deposits, disputes or the lease itself goes straight to your team.

  • Maintenance requests logged with unit, photos and urgency
  • Contractor or caretaker alerted on WhatsApp
  • Tenant updated when the job is booked and when it is done
  • Rent reminders sent before the due date

Plugged into your listings, calendars and CRM

The assistant is only as useful as the data behind it. We connect it to where your listings, diaries and leads already live, or set up a simple version if they are scattered today.

  • Your website listings
  • Listings database with an API
  • Google Calendar
  • HubSpot
  • Zoho
  • Salesforce
  • Pipedrive
  • Odoo
  • Google Sheets
  • Messenger and Instagram in the same inbox

Real estate WhatsApp automation: FAQ

How does a WhatsApp chatbot qualify property leads?

It asks the questions your agents would ask, in conversation: buying or renting, budget range, preferred area, number of bedrooms, timeline and whether financing is in place. The answers become a short summary sent to the agent and saved in your CRM.

Can it suggest other properties from our listings?

Yes, if your listings sit in a database or website that has an API, or in a sheet we can read. The assistant searches by the client’s criteria and sends a few matching properties with links.

Can clients book a viewing directly on WhatsApp?

Yes. The assistant offers free times from the agent’s calendar, books the one the client picks and sends a reminder before the viewing, using a message template approved by Meta.

Does it work with our CRM?

We connect to CRMs with an API, such as HubSpot, Zoho, Salesforce, Pipedrive or Odoo. New leads, viewings and follow-up status are recorded there automatically.

Will the assistant negotiate prices or give legal advice?

No. Offers, negotiation, contracts and legal or tax questions are always handed to an agent or your sales team. You decide the full list of topics it must pass on.

Can several agents share one WhatsApp number?

Yes. On the WhatsApp Business Platform, the whole team works from a shared inbox. Leads can be assigned by listing, area or rota, and any agent can take over a conversation.

Can we follow up with old leads on WhatsApp?

Only with people who agreed to hear from you. Messages sent more than 24 hours after a client’s last message need a template approved by Meta, and Meta charges per delivered template. New listings sent as promotions count as marketing messages.

How much does it cost for an agency?

Artover Chat is a monthly plan plus a usage wallet that pays for AI replies and WhatsApp messages as you use them. Current prices and a cost simulator are in the pricing section of this page. Connections to your listings or CRM are quoted separately after a free discovery call.
